Record Request Form

Submit a public records request by completing this online form and emailing it to recorder@ashland.or.us, or mail to 20 E Main St, Ashland, OR 97520.

What is a Public Record?
  • Any writing that contains information relating to the conduct of the public’s business
  • A public body is required to retrieve pre-existing information, which includes electronic data stored in databases
  • The Public Records Law does not require public bodies to create new public records
  
Per ORS 192.324 and 192.329 the City will 
  • Acknowledge receipt of the request or provide a full response within five (5) business days
  • If the records request is assessed a fee, the requester will be given written notice
  • If the requester does not respond in 60 days, the request will be closed
  • Within ten (10) business days of the acknowledgment of the request the City will complete a response or provide a written statement indicating it is still in process and why.
 
The time needed to process the request varies from 30 minutes, up to two or more weeks for in-depth requests. Please note that City staff will not respond to legal inquiries or additional queries aimed at interpreting the contents of the records or seeking explanations of city processes, procedures, historical practices or future requests.
